Move-Out Guide

Winter Break 2024

Preparing for Winter Break? Check out the Winter Break Prep Guide with instructions for residents checking out or continuing their room assignment. 


Check-Out Process

You have two options for check out:

Express Check Out

The easiest way to check out is to place your keys in an Express Check Out envelope and return the envelope to the Express Check Out Box near the REC office. This means you won’t be present when the room is inspected for damages, and that you can leave any time before your required check-out time. Please complete the following for Express Check Out:

  • Complete a Cleaning & Damage Responsibility Form with your roommate(s). You can get this form from your RA or from the hall/area office
  • Move out all of your belongings 
  • Clean your entire unit (cleaning checklist below)
  • Bring your keys to your hall/area office
  • Complete an Express Checkout Envelope
  • Put all keys in the envelope (NOT your ID)
    • If you lost a key, turn in the keys you have. Do not request a new key from the loan key desk. 
    • If you lost all of your keys, still turn in an Express Check-out Envelope (even if it is empty) so we know you have left.

Appointment Check Out (in-person)

If you want a staff member to check you out of your room you may choose to check out via an in-person appointment. Please complete the following for an Appointment Check Out:

  • Complete a Cleaning & Damage Responsibility Form with your roommate(s). You can get this form from your RA or from the hall/area office
  • Make an appointment at your hall/area office
  • Move out all of your belongings 
  • Clean your entire unit (cleaning checklist below)
  • At your appointment time, go to the office and a staff member will go with you to the room 
  • You will return your keys to the staff member who assists with your checkout
  • If you miss your appointment time, you may be required to do Express Check Out

Cleaning Checklist

  • Bedroom
    • Remove all belongings from room
    • Take all trash and recyclables to trash room
    • Vacuum floor
    • Double check that all drawers/cabinets are empty
    • Close and lock bedroom window(s)
    • Clean all surfaces (desk, dresser, etc.)
  • Kitchen
    • Take all trash and recyclables to trash room
    • All drawers/cabinets are empty
    • Clean all kitchen appliances
    • Sweep/Mop floor
  • Bathroom
    • Scrub shower/shower curtain/toilet
    • Scrub bathroom sink and counters
    • Clean bathroom mirror
    • Sweep/Mop floor
  • Living Room
    • Return all original furniture to unit
    • Recycle bin & trash can are clean/present
    • Vacuum floor
    • Dust/clean all surfaces

Disposal of Trash

As you dispose of trash, please take it to the appropriate trash room or to a nearby dumpster. If the trash room is full, please take your trash directly to the dumpster. As always, recycling stations are available for paper, cans and bottles.


Donations

Move-out donation bins are placed in the lobby of each residence hall. Items placed in the bins will be donated to the Salvation Army and the Jamil Niner Student Pantry right here on campus! Items to donate in the bins: clothing, shoes, accessories (purses, bags, belts), books, linens, dishes & housewares, storage crates, non-perishable food items (unopened can goods, ramen noodles), unopened, unused toiletries.


Parking Information

Parking and Transportation Services offers the following tips to help ensure a safe and pleasant move-out experience for everyone.

  • Please DO NOT block, park, or stand in Handicap or Reserved spaces, on main roads, or bus pull-offs for any amount of time without the appropriate credentials.  This includes while loading, even if the vehicle is attended and/or running.  These spaces carry a fine of up to $250.  
  • Be courteous – please do not block traffic or handicap access ramps while loading.  Make sure your vehicle is pulled off to the side and out of the drive lane.  Do not block in other vehicles.
  • Anyone using a trailer or box truck should contact the PaTS office at 704-687-0161 for additional information.
  • Pack all of your things before moving your vehicle into a loading zone, and then load everything into the vehicle at once. Vehicles will be allowed 15 minutes in the loading zones. (Please contact PaTS at 704-687-0161 to receive permission to park while loading.)
  • Please load quickly and then move your vehicle out of the loading zone.  Remember there are a lot of other people that have to move out too!
  • NOTE: Beginning with Reading Day and continuing through Commencement Saturday, family and friends who are coming to help you move may park in any non-reserved student space near the Residence Halls without a permit.

Damage/Cleaning Charges

You must return your room to its original configuration: all furniture must be returned and in the correct room, and all parts of the room must be cleaned. The RAs and REC/GA determines damages based on the information submitted on the room condition report (RCR), you were emailed  at check-in. If damage was not documented on the RCR at check in, all occupants may be charged for the damage.

To clarify who is responsible for any damage, use the Cleaning & Damage Responsibility Form. You can get this form from your RA or from the area office. If all roommates agree and sign the form with the specifics listed, it allows us to charge only the responsible and appropriate residents. For instance, if each person assumes a different task for cleaning, and the floor is not clean when we come to inspect, only the resident who agreed to clean the floor will be charged!

Notes:

  • Use of Rolling Chairs. While it may be convenient, University furniture is not supposed to leave the building. Therefore, using your rolling chair to move items out of your hall is prohibited. Using the chairs in this manner damages the rollers that will be inspected at check out. If you have been misusing your rolling chair you may be held financially responsible for any damages to the chair.
  • Command Strips/LED Light Strips. If you have installed command strips or LED light strips on your walls please feel free to leave them up. Removing them often causes damage to the dry wall so we would prefer to have our facilities team remove them. However, damage charges may still apply.

Mail/Packages

Please submit a Change of Address Form to Mail Services to ensure that your mail and packages are sent to the correct address. If there is not a Change of Address form on file, Mail Services will return all mail to sender. You will not receive an email notification if Mail Services receives mail/packages and mail will not be held until the Fall.


Bikes

If you brought a bike to campus, don’t forget to take it home. All bikes left on the bicycle racks near residence halls will be removed after move-out. NOTE: we will notify summer residents prior to the removal date so they can move their bikes inside or to bicycle rack on main campus.
