Desk Assistants play a significant role in supporting residential students within their assigned community. Front desks operate during peak times of the academic year, determined by community needs. Desk Assistants should be prepared to work various shifts, including early mornings, late nights, weekends, and holidays. Detailed responsibilities and expectations are listed in the General Responsibilities section below.
GENERAL RESPONSIBILITIES
Administrative
- Organization - consistently keeps materials and information so that it is easily accessible to residents, colleagues, and other HRL staff members.
- Accuracy of Detail - staff member maintains accurate and detailed records of interactions and other work-related tasks (Logs/Forms/etc).
- Initiative - staff member takes action to complete tasks and identifies what else can be done without specific direction.
- Timeliness - completes tasks and submits necessary documents timely; meets deadlines associated with DA position (WTE/Equipment Logs/Key Audits).
- Teamwork - works collaboratively with other HRL staff (REC/RA/Housekeeping).
- Confidentiality - adheres to guidelines set forth by Federal Law or University and Departmental Policy.
- Access & Security - ensure that the residence hall and workspace within it are only accessed by authorized individuals.
- Key Management - ensures keys are distributed and returned in accordance with HRL policy.
- Communication - staff members communicate appropriately with colleagues and supervisor for all job-related tasks and concerns (shift changes/etc).
Customer Service
- Problem-Solving - gathering facts from residents and making informed decisions on how to move forward to solve resident concerns.
- Crisis Assessment/Management - identifying and recognizing crisis situations or potential emergencies and making necessary referrals or contacts.
- Adaptability - being able to move through the various responsibilities associated with the desk operations position.
- Attitude - maintains an appropriate attitude when working at their assigned desk.
- Accuracy of Detail - the staff member provides clear, precise, and minimal errors in communications when delivering it to residents, colleagues, and supervisors.
- Timeliness - prioritizes resident needs appropriately and meets expectations promptly.
- Communication - communicates appropriately to residents, colleagues, and other HRL staff members in an effective manner.
Key Responsibilities
- Loan Key Service - check out the appropriate loan keys for residential students within the village to which they are assigned.
- Loan Key Procedures - ensure the safety of students and their property by following procedures that verify the issuance of a particular loan key to only those authorized as a residents of that particular room/suite/apartment.
- Loan Key Administration - fill out all loan key paperwork accurately and organize files appropriately.
- Loan Key Notification - inform students through email, paperwork, phone call, or in person of possible charges associated with failure to return loan keys.
- Loan Key Audits - perform daily key audits for all loan keys within the respective village.
Professionalism
- Confidentiality - ensures that information is being shared appropriately and responsibly with discretion.
- Communication - staff member recognizes the audience with whom they are communicating (resident/colleague/HRL Staff) and delivers messages appropriately tailored to their audience.
- Timeliness - staff member arrives to work and completes shifts as scheduled.
- Responsibility - staff member is accountable for actions associated with the DA position.
- Attitude - maintains a proper perspective and approach to tasks and relationships associated with the DA position.
- Teamwork - possesses the dedication and collaborative mindset needed to contribute effectively to a team.
DATES OF EMPLOYMENT
The Desk Assistant position is contracted for one academic year that runs from Aug. 3, 2026 to May 9, 2027, with the potential to extend until May 17, 2027. All dates are subject to change. A more definitive date will be provided at the time of your employment offer.
MINIMUM JOB REQUIREMENT
- Must be an enrolled student at the University of North Carolina at Charlotte.
- Must maintain a cumulative GPA of 2.5 or higher while employed.
- Supports the overall success and development of UNC Charlotte’s Residence Halls and residential community.
